Understanding the proofing process

What proofing is, why it matters, and what happens at each step, from submitting your product to approving the final proof.

Before a product goes into production, Divinipress prepares a proof. It's a visual mockup showing exactly how the finished product will look. Think of it as a quality check that catches issues before they turn into costly mistakes.

Why proofing exists

Print and promotional products are produced exactly as specified. Once production starts, there's no going back. Proofing gives you a chance to review and confirm every detail before that happens.

Who is involved

Admins and Designers can submit products for proofing. The Divinipress team prepares the proof, and then an Admin reviews it and either approves or requests changes.

Staff don't interact with proofing at all. They just order from products that have already been proofed and approved.

Two types of proofs

  • Catalog proof: You send a Catalog product through proofing to save it to My Products. No order is placed yet.
  • Order proof: Proofing happens as part of placing an order. The order moves forward once the proof is approved.

What happens during proofing

When you submit a product for proofing, the Divinipress team runs production checks on your artwork and configuration. Here's what they look at:

  • Bleed. Does the artwork extend to the edges correctly? This prevents anything from getting cut off during trimming.
  • Color space. They confirm the file uses the right color format (CMYK) for print.
  • Resolution. Is the image quality high enough to print cleanly at the intended size?
  • Basic issue callouts. The team flags anything obvious, like misspellings or visual problems.

After those checks, the team prepares a visual mockup of the finished product. You'll find it in the Platform when it's ready for your review.

Reviewing your proof

When the proof is ready, you can go one of two ways:

  • Approve. The product gets saved to My Products and placed in your organization's default Collection. If it was an order proof, the order moves forward to production.
  • Request changes. Upload updated files and add revision notes explaining what you need. The proof goes back to the Divinipress team, and this cycle continues until you're happy with the result.

When proofing is not needed

Simple reorders where you're just picking a size and quantity don't typically need a new proof. The product's already been proofed and approved, so your team can reorder it straight from My Products or their assigned Collections.
